The Problem With Managing HVAC Across a Portfolio
Facility management HVAC gets messy fast. A property manager with plazas in Brampton, offices in North York and an industrial park in Mississauga can end up with five contractors, five rate cards, five invoice formats and five COI requests every renewal. Nobody has a portfolio view of which units are failing, so capex requests arrive as emergencies.
Our portfolio contracts fix that by putting every rooftop unit, chiller, cooling tower and boiler across your GTA sites under one agreement and one point of contact.
How Is Multi-Site Pricing Locked?
We start with a survey of every unit at every site: type, age, refrigerant, condition and access. From that we set per-site pricing in writing for the contract term:
| Item | Price |
|---|---|
| Annual RTU maintenance | $295-$450 per unit per year |
| Bulk 12+ units per site | $240-$340 per unit per year |
| Portfolio contract (10+ sites) | $35K-$180K per year |
Pricing is locked for the term. New sites added mid-contract use the same rate card. Repair labour runs at contract rates, and every repair is quoted in writing before work starts.
What Reporting Do PMs Get?
Every quarterly inspection ends with a written report per unit: readings, photos, parts and recommendations. On top of that, the portfolio summary shows:
- Unit condition ratings across every site
- Open recommendations and their prices
- Units trending toward replacement in the next 1-3 years
- Rebate-eligible replacements and their Save on Energy value
That summary supports CAM reconciliation, budget season and lender or insurer questions. Where sites run a BAS, we add BAS remote monitoring so alarms reach us before tenants do.
How Fast Is a COI Issued?
Within 24 hours, on 100% of PM requests. We carry $5M commercial liability, WSIB clearance and can name additional insureds per site. Net-30 terms are standard for PM accounts.
Response Times in the Contract
Contract sites get priority dispatch, with the SLA response time written in: a tech on the roof in 2-4 hours across the GTA core, 24/7, with a 30-minute dispatch window. Dispatch already has the unit history, so the tech arrives knowing what is on the roof. See emergency rooftop unit repair.
